Your guide to how WE operate,
transparently and together.

This page outlines how we work, how to get involved, and how we stay accountable as a 501(c)(3) nonprofit student government. It includes our branches, events, partners, and all required public disclosures for donors and supporters.

  • UBCA is organized into five leadership bodies:

    • Executive Cabinet- Oversees programming, strategy, and daily operations

    • Senate– Composed of organization-appointed student senators who shape policy and funding

    • General Assembly- Monthly open forum for Black students to engage with UBCA

    • Black Presidents Leadership Council (BPLC)– Council of Black org presidents coordinating leadership and resources

    • Advisors- Volunteer faculty, staff, and community mentors who offer continuity, logistical support, and compliance guidance.

  • We host milestone-centered programs that guide Black students from arrival to graduation:

    • New Black Student Weekend- A multi-day welcome experience and mentorship program for incoming Black freshmen. It includes FADE sessions, meetups by college, and resource connections.

    • Black (BPLC) Inauguration-A formal ceremony recognizing new Black student leaders and org presidents with symbolic gavels. It also features two prestigious awards: the Brandelyn Flunder Outstanding Faculty/Staff Award and the Brianna McBride Gavel of Student Leadership.

    • Unity Week & Gala- A five-day fundraising series held during Black History Month. Each day spotlights a different group of Black UT organizations (social, cultural, creative, or professional) through collaborative fundraising events. The week concludes with the Unity Gala, a formal celebration that raises funds for UBCA’s operations and provides financial support for umbrella org programs featured in the gala program.

    • Black Graduation- Our signature sendoff for graduating Black Longhorns. Held off-campus at Greater Mt. Zion Baptist Church, this celebration centers joy, family, and cultural pride.

    These events are free or low-cost for students and supported by donors, alumni, and partners.

    Community
    UBCA welcomes alumni, faculty, community members, and supporters to stay involved:

    • Attend public events like Black Graduation and the Unity Gala

    • Offer in-kind or financial support

    • Share opportunities with our students (internships, scholarships, etc.)

    • Serve as guest speakers, mentors, or workshop facilitators

    • Donate directly or sponsor an event

    1. Overview

      1. The United Black Collegiate Association (UBCA) is a 501(c)(3) nonprofit and registered student organization at The University of Texas at Austin. These Terms of Use govern all interactions with our organization, including use of our website, event participation, donations, membership, and volunteer opportunities.

      2. By engaging with UBCA (including attending events, submitting forms, donating, or using our site) you agree to the following terms.

    2. Mission & Inclusion Statement

      1. UBCA is committed to supporting the academic success, retention, and community empowerment of Black students at UT Austin. While our mission centers the Black student experience, our programs, events, and resources are open and welcoming to all students and community members, regardless of race, ethnicity, gender, religion, citizenship status, sexual orientation, or ability.

    3. Website & Digital Content

      1. All content on UBCA platforms (including but not limited to logos, designs, photos, text, and event materials) is the property of UBCA and may not be used or repurposed without written consent. You agree not to use our website or materials for any unlawful or commercial purposes without permission.

    4. Community Standards & Behavior

      1. UBCA reserves the right to remove any individual from our events, online spaces, or volunteer opportunities if their conduct threatens the safety, well-being, or mission of the organization. Harassment, hate speech, or disruption of programming will not be tolerated.

    5. Financial Terms

      1. Donations & Partnerships

        1. UBCA accepts donations and partnerships through secure payment platforms. By submitting a donation, you agree:

          1. To provide accurate billing and payment information.

          2. That your card or payment method may be charged the agreed amount (one-time or recurring).

          3. To receive a donation receipt via email for tax purposes.

        2. UBCA will not store full card information. All payments are processed securely via third-party processors (e.g., Stripe, PayPal, TicketSpice).

        3. For quid pro quo donations (e.g., gala tickets, merchandise), donors will be notified of the fair market value (FMV) of any goods/services received, and only the amount above FMV is tax-deductible.

      2. Tickets & Refunds

        1. Tickets for UBCA events are non-refundable unless explicitly stated. In the case of cancellations or postponements, UBCA will notify registrants and provide next steps. Transferring tickets is allowed with advance notice via email

    6. Use of Personal Information

      1. UBCA may collect personal information (e.g., name, email, student status, organization affiliation) to:

        1. Communicate event or organizational updates

        2. Distribute newsletters or surveys

        3. Process donations or grant/scholarship applications

        4. Verify eligibility for leadership or benefits

      2. We do not sell or share personal information with third parties. We take privacy seriously and comply with applicable university and nonprofit privacy standards.

    7. Student Engagement Requirements

      1. Students engaging with UBCA leadership positions (Cabinet, Senate, BPLC) or applying for scholarships/grants are expected to maintain active participation in events and abide by the engagement expectations outlined in each program’s agreement.

      2. UBCA reserves the right to deny funding or leadership continuation based on participation or conduct.

    8. Modifications to Terms

      1. UBCA may revise these Terms of Use at any time. Updates will be posted on our website and apply to all future engagements

  • The United Black Collegiate Association (UBCA) respects the privacy of all students, donors, alumni, partners, and community members who engage with our organization online or in person. This Privacy Policy explains how we collect, use, store, and protect your information

    1. Who We Are

      1. UBCA is a nonprofit, student-led 501(c)(3) organization and the Black student government at The University of Texas at Austin. Our mission is to promote retention, academic success, and empowerment for Black students on campus while welcoming all to participate in our programs and services.

    2. Information We Collect

      1. We may collect personal information through forms, sign-ins, donations, applications, and other engagement tools. This may include:

        1. Name

        2. Email address

        3. EID (UT Austin identifier)

        4. Classification (student, alumni, etc.)

        5. Affiliated student organization

        6. Payment details (via third-party processor)

        7. Feedback or application responses

        8. Event attendance

    3. How We Use Your Information

      1. We use the information you provide to:

        1. Process donations and partnerships

        2. Track leadership participation (e.g., Cabinet, Senate, BPLC)

        3. Provide access to event tickets and confirmations

        4. Communicate updates, newsletters, or opportunities

        5. Administer grants, scholarships, or storage/mailbox services

        6. Improve programming and outreach efforts

      2. We do not sell or rent your data to any third party.

    4. How Donations and Payments Are Handled

      1. All financial transactions are securely processed through third-party vendors (e.g., Stripe, PayPal, TicketSpice). UBCA does not store credit card numbers or sensitive financial data. All donations will receive email confirmation and, where applicable, tax-deductible receipts.

    5. How We Protect Your Data

      1. UBCA limits access to your data to essential team members and advisors only. We use secure platforms for data collection and protect all login credentials and admin-level permissions. No sensitive data is shared outside of UBCA without explicit consent unless required by law or UT policy.

    6. Student & Community Participation

      1. UBCA welcomes students of all backgrounds and identities. While our programming centers the Black student experience, all are welcome to attend, participate, and receive services unless a program is specifically eligibility-restricted (e.g., Black student scholarships). We will never discriminate in how we use or process information.

    7. Cookies & Website Analytics

      1. UBCA’s website may use cookies or standard analytics tools to track general engagement and improve user experience. This data is anonymous and used for site optimization only.

    8. Third-Party Tools

      1. Our website and services may include links to third-party tools (e.g., form builders, payment processors, email platforms). These platforms have their own privacy policies, and we recommend reviewing those policies before submitting personal information.

    9. Your Rights

      1. You may request to:

        1. Access the personal data we have on file

        2. Correct or update your information

        3. Unsubscribe from communications at any time

        4. Request deletion of non-essential personal data

    10. Policy Updates

      1. We may update this Privacy Policy from time to time. The most recent version will always be available on our website.

Public Disclosures & IRS Documentation

As a recognized 501(c)(3) nonprofit, UBCA provides the following documentation publicly in accordance with IRS and Texas state law:

  • Provided upon request, please contact us and we will provide any of the following documentation within 2 weeks.

    • Annual Return (Form 990 or 990-EZ)

    • Application for Tax-Exempt Status (Form 1023)

    • IRS Determination Letter (501(c)(3) Confirmation)

    1. Quid Pro Quo Donations (over $75 with a benefit)
      If donors receive something in return (e.g., merch, ticket, meal), we will provide a written disclosure stating the fair market value (FMV) of the item.

      1. Example: “Thank you for your $150 donation. You received a gift valued at $25. Therefore, $125 is tax deductible.”

    2. Non-Quid Pro Quo Donations (over $250 with no benefit)
      UBCA will send a written acknowledgment including:

      1. Our name and date of donation

      2. Amount or non-cash item description

      3. Statement confirming no goods/services were provided

      4. Sent by January 31 of the following year (email accepted)

    3. Reimbursements for Volunteer Expenses (over $250)
      If volunteers donate out-of-pocket services or materials (e.g., travel, supplies), UBCA will issue a written acknowledgment that includes:

      1. Description of the volunteer service

      2. Nature and value of the unreimbursed expense

      3. Statement about whether anything was received in return

    UBCA encourages all donors to retain written documentation for their own records.
